How to convert a pay stub

  1. Upload the pay stub

    PDF, scan, or photo, from any payroll provider. LedgerBox reads fields, not templates, so an in-house format converts the same way as a big provider's.

  2. We extract earnings and deductions

    Employer, employee, period, and pay date from the header. Every earning and deduction in its own row, each tagged with its kind. Gross minus deductions must equal net pay, or the stub is flagged.

  3. Download the line CSV

    One row per earning or deduction, typed, so the two never mix in your workbook. Ready for Excel or Google Sheets.

The pay period anchors the dates

Stubs print period start, period end, and pay date in different corners depending on the provider. All three are extracted as separate fields, so period reporting comes straight off the export.

Earnings and deductions stay typed

Regular, overtime, and bonus lines are tagged as earnings; taxes, retirement, and premiums as deductions. The export keeps the two apart, one row each, instead of one mixed column.

Gross minus deductions must equal net

The deduction rows are summed and subtracted from gross pay, and the result must match the printed net pay within a cent. A stub that does not balance comes back flagged.

Any provider's layout

Pay stubs vary more than any other document type: two columns, four tables, current and year-to-date side by side. Reading fields rather than positions means the layout does not matter, and anything LedgerBox is not sure about is flagged rather than filled in.
