How forwarding works, start to finish

Copy the workspace address
Settings, Email inbox holds one address per workspace, minted from your organization and workspace names. An admin does this once.

Add the addresses you forward from
Paste in each address that will send mail. It is trusted as soon as you add it: there is no confirmation email to click.

Forward the document with the file attached
From your phone, from your desk, from a supplier's invoice email. Up to 10 attachments per message, 25 MB each and 40 MB in total.

Get a confirmation, then open review
A reply arrives saying how many documents were imported, that extraction is running, and that results land in the workspace.
The rules, stated plainly
Forwarding is a door into your workspace, so it is a narrow one. These are the limits it enforces, and the reasons behind each of them.
Attachments are what get read, never the message body
Documents and photos of receipts, as PDF, PNG, JPEG, WebP, TIFF, HEIC, or HEIF. Anything else in the message is ignored, and a forward with no readable attachment comes back saying so, with nothing lost.
One address per workspace
Forward to the workspace whose books the document belongs to. Picking the address is how you file it, so there is no client field to get wrong on the way in.
Only verified senders are accepted
Mail from anywhere else is dropped without a reply, so add every address you forward from. The silence is deliberate: replying to a forged sender would turn this address into a way to send mail to a stranger.
Forwarded pages count exactly like uploaded pages
Against the same allowance, at the same rate. A forward that runs past the remaining allowance still lands and waits in the workspace marked as needing credits. Once processing is blocked outright, later forwards are refused, and the sender is told by email once an hour rather than on every message.
What happens after it lands
A forwarded document arrives in review like any other, with every field beside the original and anything uncertain flagged. From there you approve it and export the spreadsheet, or send it straight into your books.

Forwarding FAQ
Which documents can I forward?
Anything LedgerBox processes: bank statements, invoices, receipts, PDF tables, pay stubs, purchase orders, brokerage statements, W-2 forms, 1099 forms, checks, and merchant statements. The document type is detected from the file, so there is nothing to pick in the subject line.
Does LedgerBox read the message I write?
No. Attachments are the only thing read. The subject and the body are ignored, and a forward with no readable attachment comes back with a note asking you to attach the file.
Can several people forward to the same address?
Yes. The address belongs to the workspace, not to a person. Every address that will forward has to be added as a verified sender first, and an admin can add or remove them at any time.
What happens to a forward from an address that is not on the list?
It is dropped, and no reply is sent. That silence is deliberate: replying to an unverified sender, which may be forged, would turn the address into a way to send mail to someone else. The drop is recorded for the workspace admins.
Do forwarded pages count against my plan?
Yes, exactly as uploaded pages do. Forwarding is included on Pro and up, and on the free trial; there is no separate charge for it.
Where does the forward-to address come from?
It is minted from your organization and workspace names, so it reads like acme-books@in.ledgerbox.io rather than an opaque token. It appears in Settings, Email inbox with a button to copy it.
