How to convert a purchase order
-
Upload the purchase order
PDF, scan, or photo, one page or many. Buyer-issued forms from any procurement system are read by field, without a template setup step.
-
We extract the order and verify totals
Buyer, supplier, PO number, dates, and delivery details come from the header. Every item keeps its part number, quantity, unit, price, and amount. Printed totals are checked to the cent.
-
Download the line-item CSV
One row per ordered item, ready for Excel or Google Sheets, with the PO fields preserved for matching against invoices and receipts.

Buyer and supplier stay distinct
A purchase order runs from buyer to supplier, the reverse perspective of a vendor invoice. LedgerBox keeps both parties in named fields so they cannot silently swap places.
Ordered quantities keep their units
Part numbers, descriptions, quantities, units of measure, unit prices, and line amounts remain separate columns, including values such as EA, BOX, or HR.
Printed totals are checked
Subtotal, tax, and shipping must equal the printed order total within a cent. A purchase order that does not add up comes back flagged before export.
Built for three-way matching
The PO number, supplier, ordered quantities, and line amounts stay structured in the export, making the result ready to compare with receiving records and vendor invoices.
Purchase order extraction FAQ
How do I convert a purchase order PDF to Excel or CSV?
Create a free LedgerBox account, choose Purchase Order, upload the file, and download the line-item CSV. The free trial requires no credit card.
Which fields are extracted from a purchase order?
Buyer, supplier, PO number, order and delivery dates, ship-to address, subtotal, tax, shipping, total, and currency, plus every item's part number, description, quantity, unit, unit price, and amount.
Does it work with scanned purchase orders?
Yes. OCR-backed extraction reads image-based PDFs, scans, and photos the same way as digital files, and flags any line it cannot read with confidence.
Can it handle multi-page purchase orders?
Yes. Header fields are retained from the first page, totals from the final page, and ordered lines are merged in page order with page-break duplicates removed.
Is my purchase order data secure?
Documents are encrypted in transit and at rest, processed in isolated storage, and never used to train models. You can delete uploaded documents at any time and they are permanently removed. Independently audited by a third party.
