Import bank statements into QuickBooks

Updated August 2026 · 4 minute read

QuickBooks Online imports bank transactions from CSV or QBO (Web Connect) files through Transactions, then Bank transactions, then Upload from file. When a statement only exists as a PDF, you either convert it to one of those formats first or send it in as journal entries, and this page walks through all three routes.

Why you cannot upload a PDF bank statement to QuickBooks

The bank feed handles the easy case: an account that is connected and stays connected. Everything else falls outside it. Months before the connection existed, accounts that have since closed, and banks the feed cannot reach all leave you holding statements the bank issued as PDFs.

QuickBooks' upload flow does not close that gap, because it reads CSV and QBO files and nothing else. To the importer, a PDF is a picture of transactions rather than transactions, so the real task behind this search query is conversion: turning the statement the bank gave you into a file QuickBooks recognizes.

How to import a bank statement CSV into QuickBooks Online

The CSV route works for any account, open or closed, and QuickBooks accepts two column layouts: a 3-column file (date, description, amount) or a 4-column file (date, description, credit, debit).

  1. Get the transactions into a CSV

If the month is still inside your bank's online download window, export CSV there. If all you have is the PDF, convert it: LedgerBox reads PDF statements, scans, and photos, checks that debits, credits, and running balances add up, and writes a QuickBooks-ready CSV.

  2. Match one of QuickBooks' two layouts

Use a single amount column with negatives for money out, or separate credit and debit columns. Keep one header row and delete anything that is not a transaction: opening balance lines, subtotals, and the footer text banks print on every page.

  3. Open the upload flow

In QuickBooks Online, go to Transactions, then Bank transactions, then Upload from file, and choose the bank or credit card account the statement belongs to.

  4. Map the columns

QuickBooks asks which column holds the date, the description, and the amounts, and which date format the file uses. A mismatch here is the most common reason an import lands with wrong signs or shifted dates, so check one row before confirming.

  5. Review what arrived

Imported transactions land in the review list for categorization and matching, the same place bank feed items go. Nothing posts to the register until you accept it.

When a QBO (Web Connect) file beats CSV

A QBO file is the bank feed's format delivered by hand. It carries account metadata a CSV never holds, so QuickBooks knows which account it belongs to and skips the column-mapping step entirely. Many banks offer QBO downloads alongside CSV for recent periods, and when that option exists it is the lower-friction pick.

The catch is history. Banks tend to offer QBO exports only for the window their online banking covers, and archived months come back as PDF alone. LedgerBox writes QBO files as an output format, which keeps the Web Connect route open for statements that predate the download window.

The third route: journal entries instead of a file

For rebuild jobs, a year of books reconstructed from statements, there is a route that skips the file altogether. LedgerBox's QuickBooks Online integration posts each approved document as a balanced journal entry between the bank or card account and an offset account you pick.

Two guardrails shape it. Approval always comes first, so nothing reaches QuickBooks until a person has signed off on the extracted rows, and a document-number guard stops the same statement from being sent twice. File exports are available on every paid plan; direct sending needs a higher plan, and the details live on the pricing page and the QuickBooks guide.

Questions people ask

Can QuickBooks Online import a PDF bank statement directly?

No. As of 2026 the upload flow accepts CSV and QBO (Web Connect) files only, so a PDF statement has to be converted into one of those formats before QuickBooks will take it.

What CSV format does QuickBooks expect for bank transactions?

Either a 3-column layout (date, description, amount, with negatives for money out) or a 4-column layout (date, description, credit, debit). One header row, transaction rows only, no balance or subtotal lines.

What is a QBO file?

A QBO, or Web Connect, file is the download format built for QuickBooks. Unlike a CSV it carries account details, so the import needs no column mapping and lands against the right account.

How do I import bank transactions from before my bank feed connected?

The feed cannot backfill months it never saw, but the upload flow takes whatever file you hand it. Convert those older statements to CSV or QBO and import them into the same account; they arrive in the review list like feed items do.

Will an imported file duplicate transactions the bank feed already pulled?

It can if the date ranges overlap. QuickBooks generally flags likely duplicates during review, but the cleaner habit is to trim the file to the months the feed never covered before uploading.

Statements stuck as PDFs?

Upload them, review anything flagged, then export QuickBooks CSV or QBO, or post journal entries directly.
