How to convert a bank statement

  1. Upload the statement

    Drag in the PDF as downloaded from online banking. Multi-month files, scans, and phone photos are fine, and a single drop takes up to 20 files.

  2. We extract and reconcile

    Every row is read, then checked: debits, credits, and running balances must add up before the document is marked clean. Anything that does not is flagged with a reason.

  3. Download Excel, CSV, or QBO

    Dates, descriptions, and amounts land in separate, consistent columns. Open the spreadsheet directly or import the QBO file into QuickBooks.

The statement period sets the dates

Transaction rows often print MM/DD dates without the year. LedgerBox resolves the full date from the statement period, including periods that span a year boundary.

Sections become one transaction table

Deposits and withdrawals often sit in separate sections rather than one table. LedgerBox reads every section and exports one transaction per row, with separate debit and credit columns.

Balances drive reconciliation

Ending balances are checked against the extracted rows: debits, credits, and running balances must add up, and any row LedgerBox cannot verify is flagged for review instead of guessed.

Card statements too

Card statements group transactions by category (payments, purchases, fees, interest), and the export preserves sign conventions so totals match the summary. Scanned statements convert through OCR, with any row that misses the section totals flagged for review.
